How to negotiate your salary over an email?

Many of us might be confident about our negotiation capabilities when we speak in person. However, via email, the task becomes somewhat challenging to send across the right message for convincing an employer. Conversation over emails has become an important part right from applying to a job to accepting the final offer.

When we communicate face-to-face, we tend to send across the right message by using different modes of verbal communication such as tone of voice, expressions and gestures. However, this mean of communication is not possible in case of a written mode of communication.  So, is there a possible way to negotiate your salary over an email?

Of course, no one wants to miss a lucrative job offer or accept a salary that doesn’t meet his/her expectations. The good news is that the right choice of ‘words’ and ‘style’ can help you negotiate your salary professionally. Salary is one of the important parts of your job offer and not so surprisingly, most of the negotiations are made on this component only. In fact, job offer negotiation is an acceptable practice and 8 out of 10 companies are already prepared for salary negotiations.

So, if you are a fresher and find it harder to negotiate a job offer over an email, here are some useful tips to add an appropriate tone and set a context for the salary discussion.

Tips to negotiate salary:

  • Thanks for the job offer: A job offer mainly includes details such as salary, location, benefits, expenses covered, and the joining date. When you receive the offer, the first step is to thank your recruiter over an email for the offer. If this is the job you have been waiting for, accept it. However, if it has any unclear points related to important factors like salary or location; it is the time to clear your doubts over an email.
  • Keep it polite yet professional: Control your emotions and keep your salary negotiation emails professional and polite so that the employer doesn’t feel offended in anyway. Keep your tone in check to avoid looking pushy and arrogant.
  • Put your point across effectively: Always put your points across in a thoughtful manner. Do not hesitate to mention what you expect to receive, as this is the time to either make it or break it.
  • Validate your reasons for the negotiation: Do not put any random salary range. Whatever amount you negotiate, it should always be based on market and industry research. Several online salary range checkers help you get an idea about an ideal range for your job role. Also, support your demand with your relevant skills, education and knowledge.

Here’s a sample to give you a quick idea of how to frame your response for salary negotiation:

“Dear Mr./Ms. <name>

I am glad to receive the job offer for <position> from <ABC Company>. The job role and responsibilities are a perfect fit for my career goals and skills. Looking at the growth plans of the company, I am sure to receive several opportunities to learn more and contribute to its success.

Before accepting the final offer, I would like to discuss the basic salary offered to me. Based on my skills and knowledge about the respective industry and job role, I request you to reconsider the salary package offered. The annual salary range for an entry-level position in this role falls between <number> &<number>. I believe a salary range of <number> &<number> would be commensurate with my education and skills.   

Again, I thank you for the offer and looking forward to your quick response. I hope we can enter into a mutually satisfactory agreement and I can start with ABC as soon as possible.

Be ready for further negotiations from the employer. However, never remain too rigid and keep a salary range in your mind to accept or reject the final offer.
